How does corporate event check-in work?

Import your employee or invitee list, or open registration through a private link, and each attendee gets a QR pass. At an all-hands, annual meeting or training day, staff scan passes on their own phones, search names and add walk-ins. Afterwards you export who came. Event Flo does this free, with no per-attendee fee.

What corporate organizers run into

Enterprise Software Is Overkill. You don't need an annual enterprise contract to check people in at a company all-hands or a 200-person annual meeting. Most enterprise platforms charge for features you'll never use.

Attendance Reports Take Forever. Manual sign-in sheets, spreadsheets, and expensive add-ons just to know who showed up. Compliance reporting shouldn't require a dedicated tool.

Not Everyone Is on the List. Someone always arrives who never registered: a new hire, a guest speaker, a colleague from another office. A list-only door either turns them away or loses track of them.

Corporate Event Check-In and Registration — what you get
FeatureWhat it does
QR Check-In on Staff PhonesStaff scan attendee QR passes at the entrance from their own phone browsers, or search a name when a pass won't open. No dedicated hardware and no setup cost.
Walk-Ins at the DoorSomeone who isn't on the list? You or your door staff add them from the scanner with a name and an optional email or phone, and Event Flo checks the list for a match first. They are checked in at once. Adding a walk-in needs a connection.
Employee List ImportUpload your employee or invitee list as a CSV, XLSX or XLS file, and each person gets a QR pass. Then email the passes from the Imports & walk-ins tab.
Attendance ReportsThe guest list CSV marks every check-in, imports and walk-ins included. The attendance report adds each attendee's check-in time and ID status, as a CSV or PDF, with imports and walk-ins too.
Approval-Based RegistrationReview every registration before confirming. Ideal for invite-only product launches, private seminars, and executive events.
Optional Attendee ID ChecksGuest ID checks are an optional per-event setting, on by default. Attendees who register can ask for a spot first and are confirmed once their ID is verified. Imported employees and walk-ins are not ID-checked.
0% Platform FeesEvent Flo is free. Enterprise platforms sell annual contracts and ticketing marketplaces charge per ticket. Event Flo charges nothing, and attendees who pay for a seat pay you directly.
Capacity, Waitlists & AgendasSet a capacity, turn on waitlist auto-promotion so freed seats refill on their own, and add an agenda of sessions. Registration covers the whole event; for a separate guest list each day, publish each day as its own event.

How to set up check-in for a company event

  1. Build the event. Pick Business conference or Business training. Business events are never listed publicly, can run online or in person, and come with the attendance report. Guest ID checks are an optional per-event setting, on by default.
  2. Import your employee list. Upload a CSV or Excel file, and each person gets a QR pass. Email the passes from the Imports & walk-ins tab. A private event with the people you import goes live now, with no ID step. Want people to register themselves through the event link instead? Turn on approval and ask for a work email or team; the link opens once your ID is verified, a one-time check.
  3. Invite your door team. Add staff by email from the event's check-in screen. Each accepts with their own Event Flo account and scans passes in the phone browser, with no app or hardware.
  4. Check people in on the day. Scan passes or search a name at the entrance, scan attendees into agenda sessions, and add anyone who isn't on the list as a walk-in.
  5. Export who came. Download the guest list CSV with every check-in marked, or the attendance report as a CSV or PDF with each attendee's check-in time and ID status, imports and walk-ins included.

Frequently asked questions

Is Event Flo a free alternative to Cvent for corporate events?

Yes. Cvent is sold on annual enterprise contracts. Event Flo is completely free — 0% platform fees, no subscription, no per-attendee charge. You get ticketing, ID verification (on by default), QR check-in, and attendance reports at no cost.

Can I export attendance records after a corporate event?

Yes. Export attendance as CSV or PDF from your dashboard for any Business conference or Business training event. Each row shows the attendee's name and email, when they registered, whether and when they checked in, and their ID-verification status: a ready record of who registered and attended, for HR and training teams. Imported employees and walk-ins have rows too, marked in a Source column.

Does Event Flo support large corporate conferences?

Yes. There is no capacity limit on the platform. For large events (500+), we recommend inviting several door staff so the Bouncer Portal runs on a phone at each entrance, every scan landing in one live total.

Can I restrict who can register for a private corporate event?

Yes. Enable approval-based registration to review each submission before confirming. Keep the event private so only people with the link can request a spot, and add a registration question such as work email or team so you can check each request.

How do I check in employees at an all-hands or annual meeting?

Import your employee list from a CSV or Excel file, so each person has a QR pass, then email the passes from the Imports & walk-ins tab. On the day, door staff scan passes on their own phones or search a name, and add anyone who isn't on the list as a walk-in. Adding a walk-in needs a connection. Scanning keeps working when the wifi drops and syncs when it returns. Afterwards, the guest list CSV marks every check-in.

Can I add walk-ins at a company event?

Yes. You or your door staff add a walk-in from the scanner with a name, plus an email or phone if they give one. Event Flo checks the list first and shows any match, so a registered colleague is not added twice by mistake. The walk-in is checked in at once, counts toward capacity and is in the guest list CSV. Adding a walk-in needs a connection, and walk-ins are not ID-checked.

How do I track attendance at a corporate event?

Give each attendee a QR pass, by import or by registration, then scan passes at the main entrance and, if you run an agenda, at each session. On a Business conference or Business training event, the attendance report lists each attendee with their check-in time, ID status and sessions attended, imports and walk-ins included, and the PDF adds the no-show count.

Can I set up a corporate event before my ID is verified?

Yes. Business events are never listed publicly, and a private one goes live now: import your attendee list, email the passes, invite door staff and check people in, with no ID step. Your ID is verified once, before an event is listed publicly or opened to sign-ups, so you need it only if attendees will register themselves through the event link. Until then, you can send 300 pass and certificate emails a day, counted together.
