What is Event Flo for hosts?
The definition
Event Flo is a free event hosting platform for social hosts: house parties, meetups and social clubs, singles nights and run clubs. You post the event, people nearby can find it and RSVP, and you can approve each guest. ID checks are on by default. There's no platform fee, and guests pay you directly.
- 0% platform fee: Guests pay you directly
- Guest approval: Turn it on per event
- ID checks: On by default
Pick your kind of night.
House parties: Your place, your list. For house parties, only confirmed guests get the exact address, 2 hours before start.
Meetups & social clubs: Supper clubs, book clubs, game nights, walking groups. Free to run, with no organizer subscription.
Singles nights & speed dating: Speed dating nights and mixers. Turn on approval to choose who comes and keep the room balanced.
Run clubs: Post this week's run, see who's coming, and scan runners in at the start.
Three steps to doors open.
- Post it: Add a title, date, cover photo, and a price if you're charging. Your event gets its own page and link. The first time, a public event goes live once your ID is approved, usually within an hour; a private event can go live right away.
- Approve who comes: Turn on approval and guests request to join instead of booking straight away. You see who each person is and whether their ID is checked, then approve or decline.
- Run the door: Confirmed guests get a QR pass by email. Scan them in from your phone, and it keeps working when the signal drops.
Everything a host needs. Nothing you pay for.
Every tool below is included for every host and every event, at no cost, with no paid plan or trial to sign up for.
Get it out there
Your event page, and the places people can find it.
- Your own event page: Cover photo, a full description, the date, the place and an RSVP button, all on one page with one link to share everywhere.
- Listed where people look: Public events appear on Discover and on your city's pages, where people already look for parties, meetups and runs.
- People nearby get told: When your public event goes live, people in your city who haven't switched off event emails hear about it.
- One-tap sharing: Share your event to WhatsApp, X or Facebook in one tap from your dashboard.
- Save it as a draft: Set up your event before your ID check is done: a public event goes live once your ID is approved, and we'll remind you if you haven't uploaded it. A private event can go live right away.
- Your host profile: Your past events, photos and guest reviews in one place, so new guests can see who's hosting.
Choose your crowd
Who gets in is your call.
- Approve each guest: Turn on approval and guests request to join instead of booking straight away. You approve or decline each one, so nobody gets in without your yes.
- ID-checked guests: ID checks are on by default, so an RSVP waits until the guest's ID is verified. You can switch them off per event.
- Private address for house parties: For house parties, only confirmed guests get your exact address, and only from 2 hours before start.
- Waitlist: When you're full, new RSVPs join a waitlist. Let people in from it yourself, or turn on auto-promotion so the next person moves up when a spot opens.
- Guests bring friends: Set how many spots one guest can book. Each spot gets its own QR pass, and you see the whole group on your list. Only the booker is ID-checked.
- Import your existing list: Have a guest list in Excel or Google Sheets? Upload it as a CSV or Excel file. Each guest gets a QR pass and holds a seat.
- Add VIPs: Keep a VIP list of your regulars. When they RSVP to any of your events, they skip your approval queue.
- Message your guests: Running late or changed the plan? Email every confirmed booking in one go.
Run the night
Smooth at the door, and it sets up your next one.
- QR passes by email: Confirmed guests get a QR pass by email, and you can see whose pass was sent and whose bounced.
- Reminder emails: Guests who RSVP'd get a reminder email the day before and another a few hours before start.
- Scan guests in from your phone: Check guests in with your phone's camera, right in the browser. It keeps working when the signal drops and syncs later.
- Door staff access: Invite a friend with an Event Flo account to run the door once your event is published. They scan from their own phone, so you never share your login.
- Export your guest list: Download a CSV of every guest and their answers, or print the QR passes, whenever you need them.
- Guest reviews: After the night, guests are asked for a review, and their reviews show on your host profile.
- A community page for regulars: Give your regulars a page of their own that lists your events. Members join from it and get a notification when you post the next public one.
Fill the room. With the right people.
Why hosts use Event Flo
- "Will anyone show up?" People can find your event: Public events are listed on Discover and on your city's pages, and people in your city who haven't switched off event emails hear about new ones. - "Is it safe to host people I don't know?" Your house-party address stays private: For house parties, only confirmed guests get your exact address, from 2 hours before start.

Frequently asked questions
Is Event Flo free for hosts?
Yes. Hosting is free for as many events as you like, with a 0% platform fee. If you charge for entry, guests pay you directly and Event Flo never touches the money.
Do my guests need to download an app?
No. Event Flo works in the browser. Guests RSVP on your event page and get their QR pass by email, and you scan them in from your phone's browser.
How do I get paid if I charge for entry?
Set a ticket price, and say in your event description how you'd like to be paid: UPI, bank transfer, cash at the door or anything else. Guests pay you directly. Event Flo takes no cut, and there's nothing to wait for.
Can I choose who comes?
Yes. Turn on approval and guests request to join instead of booking straight away; you approve or decline each one. ID checks are on by default too, and you can switch them off per event.
Can I keep my address private for a house party?
Yes. For house parties, your exact address stays hidden and goes only to confirmed guests, 2 hours before start, on the event page and by email. Other kinds of events show their address publicly.
Is it safe to host people I don't know?
Event Flo gives you the tools to make it safer. ID checks are on by default, approval lets you turn anyone down, and for house parties only confirmed guests get the address, 2 hours before start.
Will people I don't know find my event?
If it's public, they can. Public events are listed on Discover and on your city's pages, and people in your city who haven't switched off event emails hear about new ones. A private event is only seen by people you send the link to.
How many people should I invite?
More than the room holds, because not everyone who says yes turns up. Set your capacity to what your space fits and let the waitlist catch the rest.
Can I host the same event every week?
Yes, as often as you like, for free. There's no automatic repeat, so post each one yourself, or duplicate your last event and change the date.
Do I need to verify my ID to host?
Yes, once, for a public event. You can set up your event straight away: it's saved as a draft and goes live by itself once your ID is approved, usually within an hour. A private event can go live right away: until your ID is verified, guests join by invite or at the door.
Can a friend help me run the door?
Yes. Once your event is published, invite them as door staff by email. They need an Event Flo account, and they scan passes from their own phone, so you never share your login. The scanner keeps working when the signal drops and syncs later.
