A timestamped record instead of a clipboard
On a clipboard, a name can be squeezed in or crossed out without a trace. On Event Flo, every check-in is recorded with its time and each pass checks in only once. You import your list or let guests RSVP online, every guest gets a QR code, and door staff scan from their own phones against the same list.
Event Flo also works as a free event check-in app for any event type — from small house parties to large-scale club nights with multiple door points. There is no guest cap, so the same tool covers 50 guests or a packed club.
One venue, one list, zero confusion
Managing a nightclub means juggling several promoters' names on the same night. Event Flo keeps one guest list per event: import each promoter's names into it, and the door scans against the whole list. There are no promoter logins or per-promoter counts; the venue manager sees the live headcount against capacity on the event's Check-in screen.
You can invite unlimited door staff at no extra cost; each accepts with an Event Flo account and scans from their own phone. Every scan counts toward the one headcount on your Check-in screen. Need to cut someone's access after the event? One click removes them.
What happens when the WiFi dies?
Every nightclub owner knows the moment: it is 1am, the queue is 40 people deep, and the venue WiFi crashes. With a cloud-only system, entry grinds to a halt. With Event Flo, a scanner opened on good signal keeps going: it has cached the guest list, keeps scanning, and syncs every check-in once the connection returns, each recorded once. Admits made offline are provisional, because the phone cannot see a ban or cancellation made after it loaded the list.
This is not a premium feature. Offline mode is included for every venue, every event, at no cost.

ID Verification — Verification is on by default for every event you publish except business events, and you can switch it off: unverified guests can send a request, and their spot is confirmed once their ID is verified. Know who registered for your night — a verified identity, not just a name on a clipboard.
Offline Mode — Keep checking guests in when WiFi drops. A scanner opened on good signal caches your guest list and syncs when the connection returns; offline admits stay provisional until then.
How a night runs
1. Import Your Guestlist — Upload a CSV or Excel file, or let guests register online through your event page. Every name lands on one guest list for the night, and duplicate rows are skipped on import. No manual data entry.
2. Share QR Codes Automatically — Every confirmed guest receives a unique QR code by email when they are added to the list (an imported guest needs an email address for this). No manual distribution. Guests arrive with their code on their phone.
3. Scan at the Door — Door staff open the Bouncer Portal on their own smartphones. Scan a QR code and the verdict shows at once, while your Check-in screen keeps the live headcount. If WiFi drops, offline mode keeps the line moving.

Is Event Flo free for nightclubs?
Yes, completely free. Event Flo charges no platform fees, no per-guest fees, and no monthly subscription. Whether you run one event a month or seven nights a week, you pay nothing to use the guest list and check-in tools.
Does the nightclub check-in app work without WiFi?
Partly. The scanner needs a connection to open; once it is open it caches that night's guest list, so if the venue WiFi drops it keeps scanning and syncs when the connection returns, with each scan recorded once. Offline admits can't see a ban or cancellation made after the last refresh, so they are provisional. Open every door phone on good signal just before doors.
Can I give different access levels to different staff members?
No. Everyone you invite as door staff gets the same access for that event: the scanner, the name search and the scan verdicts, without the rest of your dashboard. There are no promoter-only lists or role-based logins, and the live headcount and gender ratio stay on your own Check-in screen. You can remove a staffer's access at any time.
