QR Code Event Check-In: Complete 2026 Setup Guide
QR code event check-in replaces the paper guest list with a scan: every approved guest receives a unique QR ticket, door staff scan it from any smartphone browser — no app download, no scanner hardware — and the guest list updates in real time. Setup on Event Flo takes under ten minutes and the check-in system is free, with no per-device licence.
Why an event QR scanner beats a paper list
A scan replaces the hunt for a name: nobody flips through a printed list for each guest, which is what produces the queue outside the door. Digital ticket scanning also gives you a timestamped, deduplicated record per guest instead of a tally you reconcile the next morning.
Every Event Flo ticket is validated server-side and marked used on first scan, so a screenshot of someone else's code works exactly once and never twice. Each ticket is tied to the booker's profile — government-ID-verified when verification is on (the default) — so the scanner shows the registered name at the moment of entry. When a host allows more than one ticket per booking, each guest ticket shows the name the booker gave for that guest, and only the booker's ID was checked. There is no "close enough" with digital tickets.
Digital ticket scanning, end to end
Guests RSVP on the event page and complete government ID verification (on by default); you can require host approval before any ticket is issued. Approved guests get a unique QR ticket by email and in-app automatically: nothing to print, nothing to distribute by hand.
On the night, door staff open the scanner in a phone browser, point the camera at the guest's screen, and get a green or red verdict on screen. Every main-entrance scan feeds the live count on the host's Check-in screen, so you always know the checked-in count against venue capacity.
Event entry management on the night
Staff one scanner for events under 50 guests, two for 50–150 (one scanning, one checking IDs), and open a second entry lane beyond that. Guests whose code will not scan are handled by manual name search; pending registrations can be approved from the host dashboard at the door and re-scanned.
The scanner validates tickets server-side, so plan for connectivity: download the confirmed guest list as a CSV or PDF backup before doors, and put a hotspot on the entry point if the venue has dead zones. That backup list is the manual fallback if signal drops.
