Check guests in without internet
If the venue has no signal, keep scanning. The scanner checks each pass against a guest list saved on your phone and sends the check-ins when you are back online.
Before you start
You opened the scanner for this event on this phone while it was online, so the guest list is saved on it. Door staff need to do the same on their phones.
Step 1: Open the scanner while you have signal
Open Check-in and tap Launch scanner before the doors open, ideally where the signal is good. Leave it open. Don't reload or close the page while you are offline, because Event Flo may not open again until you are back online.
Step 2: Keep scanning when the signal drops
The bar at the top says Offline. Admits are queued for sync, with how many are waiting and how old the saved list is. Scan passes as usual.
Step 3: Read the offline result
A pass on the saved list shows Let in, pending sync in amber, with Checked against the saved list, not the server yet. Let them in and tap Next guest. A pass the saved list refuses still shows the refusal.
Step 4: Add walk-ins once you are back online
Add walk-in opens, but the form says Adding a walk-in needs a connection. and won't add anyone. Note their name and add them when the signal is back.
Step 5: Sync when you are back online
When the phone reconnects, the scanner sends the waiting check-ins by itself. If any are still waiting, the bar says Online with how many are pending. Tap Sync 2 (the number is how many are waiting) to send them.
Step 6: Check anything the server refused
If a guest's ticket changed after the list was saved, for example they cancelled, a red panel lists them, such as 1 offline admit the server refused. It also lists a pass that was let in twice, say by two phones that were both offline: that row reads pass already used, with the time of the first check-in. Talk to that guest, then tap Got it.
Good to know
An offline check-in is provisional until it syncs. It counts on your tally only after it reaches Event Flo.
The saved list only knows what was true when it was saved. Approvals or cancellations made after that are checked when the scans sync.
Each phone knows only its own offline scans. If one pass is scanned on two phones that are both offline, both let the guest in.
Searching by name works offline, on the saved list.
If a check-in still can't be sent after several tries, the scanner says it could not be delivered and offers Retry. If that fails, check the guest in from your guest list.
Marking someone paid needs a connection. The result says Mark paid when you're back online.
