How Event Flo Works for Private Events in India

Event Flo is a listing and guest-list tool for private events in India: house parties, supper clubs, run clubs, small meetups. Hosts publish a capped listing and approve each guest. Guests verify a government ID once and request spots. The address goes only to approved guests, shortly before start. There is no platform fee, and guests pay the host directly. The host side, step by step

1. Create the listing

Go to /create-event, sign in, and fill in the basics: title, date and start time, city, a cover image, a description, and tags so the event shows up in the right feed (house party, supper club, run club, and so on). A listing takes about five minutes. You do not need a company, a GST number, or a subscription. 2. Set capacity and price

Capacity is a hard cap. Once the approved list hits it, new requests join a waitlist instead of a guest list. For a 2BHK in Bandra or Koramangala that usually means 15 to 30 people. Price is per head, in rupees, and it is a number you are telling guests to pay you, not a number Event Flo collects. Free events are fine too, and many first-time hosts start with a BYOB evening at Rs.0 to learn the rhythm.

For a paid event, the arithmetic is simple because there is nothing in the middle. 25 guests at Rs.400 works out to Rs.10,000, and that is the amount that reaches the host via UPI or cash. Event Flo charges 0% and never touches the payment.

3. Approve requests

Requests arrive in the host dashboard. Each one shows the guest's verified name and profile, so you are deciding on a real identity rather than a handle. You approve or decline one at a time. Declining is silent and normal. Hosts who run recurring events tend to approve people they have hosted before first, then fill the remaining spots from new requests a day or two out. 4. Collect payment directly

Once approved, guests pay you. Most hosts put a UPI ID in the event description or in the message that goes out on approval, and mark payment received in the dashboard. Some take cash at the door. Either way the money goes from guest to host with no intermediary, which is why there is no fee to explain and nothing to wait on after the event.

5. Address release

Your address is never shown on the public listing. Approved guests receive it automatically shortly before the start time, along with a map link. People who were declined, waitlisted, or never requested do not get it. This is the single feature hosts ask about most, because it is the difference between a private flat and a venue.

6. QR check-in from the browser

On the night, open the check-in page on your phone. Each approved guest has a QR ticket; you scan it with the phone camera in the browser, no app to install for you or for door staff. A scanned ticket cannot be reused, and the dashboard shows live headcount. If you hand the door to a friend, they can scan from their own phone.

The guest side, step by step

1. Verify once. Sign up and complete a one-time government ID check. It takes a few minutes and applies to every event on the platform afterwards.

2. Browse. Open the city feed you want, for example house parties in Mumbai, house parties in Bangalore or house parties in Pune. Listings show date, neighbourhood, price, capacity and how many spots remain, but not the address.

3. Request a spot. Hosts approve manually, so request at two events if you really want to go out on a given night.

4. Get approved, then pay the host. The approval message tells you how the host wants to be paid. Pay them directly; nobody on the platform will ask you to pay Event Flo.

5. Receive the address. Shortly before start, the exact address and map link appear on your ticket.

6. Show your QR at the door. The host scans it from their phone and you are in.

What it costs

Nothing, for either side. Hosts pay no listing fee, no subscription, and no per-ticket charge. Guests pay the host's stated price and nothing on top. Honest limits

A few things Event Flo does not do, so nobody is surprised on the night.

• It does not process payments. There is no in-app checkout, no refunds handled by the platform, and no chargeback process. A payment dispute is between guest and host.

• It does not guarantee approval. Hosts decide, and a declined request is not appealable.

• It does not guarantee attendance. Verified guests no-show less often than anonymous RSVPs, but they still no-show. Many hosts ask for payment at approval for this reason.

• Inventory is uneven. Bandra, Indiranagar and Koregaon Park have listings most weekends; smaller cities and far suburbs can be thin. Check the this weekend feed before promising friends a plan.

Who it suits

Hosts who want to fill a flat, a terrace or a 6 a.m. run with people they have actually vetted, without paying a platform for the privilege. Guests who would rather request a spot at a verified listing than chase Instagram DMs for an address.
